Check-in runs in the browser on a staff phone or tablet. There is no app to install. Scans read the same live inventory as the website and the box office. Admins, designers and box office staff can scan; viewers cannot. See Staff roles.
The Door tab
Open the event’s Door tab. It shows how the night is going:
| Figure | What it counts |
|---|---|
| Checked in | Tickets scanned, out of the valid tickets issued. |
| Attendance | Scanned divided by valid, as a percentage. |
| Not yet arrived | Valid tickets never scanned. |
| Refunded | Tickets voided by a refund or cancellation, and how many of those after entry. |
Arrivals charts check-ins over time, with the time of the first one. Start scanner opens the scanner. Download door list saves the guest list.
Start the scanner
Choose Start scanner. The scanner is tied to this one event and to your sign-in, and stays open for a two-hour shift. When it ends, the screen reads Door session ended; choose Reauthorize and continue and the ticket you were scanning is kept, so there is no need to scan it again.
Scan a ticket
Choose Use camera and hold the QR code inside the frame. If the browser cannot read QR codes or camera access is blocked, type or paste the code into Ticket code or scan URL and choose Check ticket.
Checking a ticket records nothing. The screen shows the result, the seat, the guest’s name and the booking form answers for that ticket. Admission is recorded only when you press the check-in button, which names the guest, for example Check in Maria. A ticket for a group of standing guests reads Check in 3 guests.
| Result | Meaning |
|---|---|
| Valid ticket | Admit the guest with the check-in button. |
| Checked in | Done, with the time. Choose Scan next ticket. |
| Already checked in | This ticket was admitted before, at the time shown. It cannot be admitted twice. |
| Ticket void | The ticket was cancelled or fully refunded and cannot admit anyone. |
| Wrong event | The ticket is for another event. The buyer’s details stay hidden. |
| Ticket not found | The code does not match any ticket this scanner can see. |
| Seat change in progress | Staff are moving this order to other seats. Wait, then choose Try again. |
| Couldn’t reach the Door service | A connection problem, not a verdict on the ticket. Choose Try again, and do not turn the guest away on this screen. |
A check-in cannot be undone from the scanner. Check-in never changes what was sold: admitting a guest does not touch the order or the seat.
Test events
Tickets from a test event scan normally, so you can rehearse the door. Every result for them carries the strip Test ticket: not valid for entry, so nobody mistakes one for a real admission.
When the network fails
The scanner needs a connection for every check. There is no offline mode. The door list is the fallback: download it before doors open.
Download door list (CSV) gives one line per seat, sorted by buyer name so a queue can be worked by the name people say out loud. Each line has the seat, the order reference, whether the ticket was scanned and when, and whether the order was refunded. Refunded holders stay on the list, marked. The file holds no email addresses on purpose, since it is meant to be printed and handed to door staff.
Looking someone up
The door scanner works from the ticket. To find a guest by name, email or phone, use Find order in the Box office.
